References to “HolidayMeds”, “we”, “us” or “our” mean PHARMAPREMIUM LTD in its capacity as operator of the HolidayMeds service.
HolidayMeds provides a travel health documentation and prescription facilitation service. HolidayMeds is not a pharmacy and does not sell, dispense, supply or deliver medicines.
Scope
This Privacy Policy explains how we collect, use, disclose and protect personal information when you visit HolidayMeds, contact us or use our services.
PHARMAPREMIUM LTD is the data controller for personal information for which it determines the purposes and means of processing. A doctor reviewing information submitted through HolidayMeds may have separate professional and legal obligations concerning clinical information and may act as an independent data controller for some processing.
Information we may collect
Depending on how you use HolidayMeds, we may collect your name, date of birth and contact details; identification and verification information where required; information submitted through questionnaires; health and medical information; information concerning existing conditions, symptoms, allergies and current medicines; information relevant to the service or documentation requested; communications; payment and transaction information; IP address, browser, device and security information; website usage information where permitted; and records required to administer your request or meet legal obligations.
Health information
Information concerning health is special category personal data under UK data protection law and receives additional protection.
Health information submitted through HolidayMeds may be provided to a doctor appropriately registered and authorised to practise in an EU Member State where necessary for the requested clinical assessment. The reviewing doctor independently determines whether issuing a prescription is clinically appropriate and legally permissible.
We process special-category information only where an appropriate lawful basis under Article 6 UK GDPR and an appropriate condition under Article 9 UK GDPR apply. Depending on the particular circumstances and processing activity, this may include explicit consent and/or processing necessary in connection with the provision or management of health or healthcare services where the relevant legal requirements are satisfied.
Why we process information
We may process personal information to provide and administer the HolidayMeds service; process requests; verify information or identity where appropriate; arrange clinical review; communicate with customers; process payments; provide customer support; maintain transaction and administrative records; protect our website and systems; detect or prevent fraud or misuse; comply with legal and regulatory requirements; establish, exercise or defend legal claims; and improve the operation and security of our services.
We do not sell personal medical information and do not use health information for unrelated advertising purposes.
Lawful bases
Depending on the processing concerned, our Article 6 UK GDPR lawful basis may be contract, legal obligation, legitimate interests or consent. Health information and other special-category information additionally require an appropriate Article 9 condition.
Sharing information with doctors
Information relevant to your request may be made available to a doctor appropriately registered and authorised to practise in an EU Member State. The doctor uses that information to conduct an independent clinical assessment and may request additional information or determine that a prescription should not be issued. Doctors may have their own professional and legal obligations regarding medical records and retention.
Other organisations
Where necessary, we may share information with healthcare professionals; payment service providers; IT, hosting and communications providers; identity and fraud-prevention providers; professional advisers; regulators and public authorities; and courts or law-enforcement authorities where legally required.
We require service providers acting on our behalf to handle information appropriately and in accordance with applicable data protection requirements.
International transfers
Providing the HolidayMeds service may involve personal information being transferred between the United Kingdom and the European Economic Area. Where information is transferred internationally, we take steps to ensure that the transfer complies with applicable UK data protection requirements and, where necessary, appropriate safeguards or other lawful transfer mechanisms will be used.
Retention
We keep personal information only for as long as reasonably necessary for the purposes for which it was collected and to meet applicable legal, accounting, regulatory, dispute-resolution and record-keeping requirements. Clinical records held independently by a healthcare professional may be subject to different statutory or professional retention periods. Information no longer required will be deleted or anonymised where appropriate.

Access to health information is restricted to those who require access for legitimate operational, clinical, legal or regulatory purposes.

Subject to applicable law, you may have rights to access personal information; correct inaccurate information; request deletion or restriction in certain circumstances; object to certain processing; receive certain information in a portable format; withdraw consent where processing relies upon consent; and complain about our processing.
